Booking Terms and Conditions

Please read these booking terms and conditions carefully as they incorporate the basis upon which bookings are accepted by The Bay Apartments.

Prices/Rates
Prices are quoted in Australian dollars. The rates are subject to change without notice until booking is confirmed by deposit. Minimum night stays apply over various events/seasons. Any verbal quote is an estimate only of price, which will be subject to a written advice on confirmation of the reservation. We endeavour to provide the best possible price for the period of booking. In the event you obtain a better price for our property elsewhere, please advise and we will do our best to match it.

How to Book:
Reservations can be made by calling +61 7 5536 2988, by emailing info@thebayapartments.com, or over the internet via our website.
All bookings must be secured with a $200 deposit by credit card at time of booking, or a $500 deposit for Christmas period bookings (20 December to 20 January)
We have a two (2) night minimum stay applying to Low/Mid-Season Bookings, and a minimum of five (5) or seven (7) night stays being applicable to High/Peak Season Bookings as indicated. One (1) night stays are not available.

Payment, Options & Process:
Once we receive your booking request and deposit payment, we will respond to you in writing via email with a confirmation of your booking and relevant details; including selected apartment category, dates and associated costs. All payments must be made in AUD. EFTPOS facility is available at reception for those guests making payments in person. Payments may be made via: Visa, MasterCard (no extra fees apply) or by Bank Transfer at least 14 days prior to arrival (bank account details can be requested). We do not accept payments via cheque, Amex or Diners card. The balance of accommodation must be paid in full prior to keys being released.
We do not accept personal or company cheques, money orders or foreign currency on arrival.

Low/ Mid/ High Season, Easter, School Holidays, Events Payment Policy
Full payment is due up to 14 days prior to arrival. The credit card you authorised for payment of the initial deposit will be automatically debited unless we are contacted before this time with alternative arrangements. If we do not hear from you, our understanding will be that you have authorised us to deduct the final payment from this card.

Christmas (20 December – 20 January) Payment Policy

Full payment is required 30 days prior to arrival at the resort.

Cancellation Policy:
Low/ Mid/ High Season, Easter, School Holidays, Events

In the event of cancellation, the deposit is refunded less a $50.00 administration fee. Within 14 days of arrival full accommodation total is forfeited.

Christmas Cancellation Policy (bookings between 20 December and 20 January)
Bookings cancelled outside 30 days prior to arrival at the resort will incur a $100 re-letting/administration fee.
Bookings cancelled within 30 days prior to arrival at the resort will incur a cancellation fee equivalent to the Booking deposit.
Within 14 days of arrival full accommodation total is forfeited. We strongly recommend travel insurance

No Shows – full accommodation total is forfeited.

Shortened Stay – Guests who reduce length of stay once in house will not receive a refund on nights booked & paid.

Check-in and Check-out Policy:

Our reception hours are:
Monday to Friday: 9.00am until 4.00pm
Saturday & Public Holidays: 9.00am until 12.00pm
Closed Sunday & Christmas Day
SUBJECT TO CHANGE WITHOUT PRIOR NOTICE

Check-in time: after 14:00 (2pm)
If your scheduled time of arrival may be outside of our Reception hours, please telephone the resort 24 hours prior to your scheduled arrival as you will need to be advised of our ‘After Hours’ Guest check-in procedure and obtain the night safe combination, which will provide access to your unit keys. Full payment of your accommodation is required prior to unit keys being released, therefore if you are arriving after hours please ensure that your account has been settled prior to your arrival to ensure release/collection of keys.

Check-out time: prior to 9:00 (9am)
Late check-out after 9:00am – A late check-out from your apartment may be available, subject to booking demand, if this service is available and provided, an additional charge will apply.

The number of guests in your apartment will be recorded at check-in time and we ask for your co-operation in not breaching our Health & Safety regulations by exceeding the number of registered guests for the amount of beds in your chosen accommodation.
The Bay Apartments maximum rooming configuration for all apartments is as follows:
2 Bedrooms = 4 persons
The Bay Apartments offers 2 Bedroom apartments, all equipped with Queen beds in the main bedroom (with an ensuite) and two single beds in the second bedroom.

Cots and rollaway beds are accepted in addition to the maximum number of persons above. Maximum 1 cot or rollaway bed per apartment. There is an extra person charge of $30 per person, per night.
All guests must be over the age of 21 years unless accompanied by a parent or guardian. Proof of age in the form of photo ID may be required prior to release of keys.

Identification and Security Deposits:
Adequate identification is required at time of check-in to verify your identity. A current Drivers licence, Passport or other form of photo identification (ID) will be asked for prior to check-in.
We require all credit card usage to be accompanied by this ID. This ID may be copied or stored as a record that we have verified who you are as a combat to increasing credit card crime and identity fraud. Any personal information contained on the collected ID will be securely stored and carefully disposed of at the end of its usefulness or requirements

All guests are required to provide a credit card pre-authorisation bond on arrival at the resort. If a valid credit card and ID is not available this must be paid by cash and will be refunded at the time of your departure and after the inspection of the apartment. The security bond on the apartment will be used to cover incidental items such as (but not limited to):
Any breakages or damage incurred during your stay.
Any excessive cleaning charges, above the normal level of cleaning, due to the apartment being left in an unacceptable state.
A current driver’s license or passport will be required at check-in. This ID may be copied or stored as a record that we have verified who you are as a combat to increasing credit card crime and identity fraud.
Any personal information contained on the collected ID will be securely stored and carefully disposed of at the end of its usefulness or requirements

Booking Arrangements:
The person affecting a booking via any available source shall be deemed to have accepted the booking terms and conditions on behalf of all persons associated with; or named in the booking.

Descriptions, Photographs & Maps:
Descriptions are based on information available at the time of publishing and may vary or change at any time. Maps and photographs are shown for general information only and highlight places in surrounding areas. Property photographs are representative only, actual apartments occupied may vary in decor and inclusions from those shown.

Travel Insurance:
We recommend that, at time of booking, you consider purchasing a travel insurance policy of your choice. Travel Insurance can be purchased from any travel agent. Unaccompanied minor/s:
A child/children who is/are traveling/staying without the accompaniment of an adult over the age of 18 years is considered by most airlines/hotels as an unaccompanied minor/s. Unaccompanied minor reservations are not accepted by The Bay Apartments.

Subject to Change:
We cannot be held responsible for circumstances beyond our control. That is, if any specific apartment within the property is sold or withdrawn from the rental market; or if the property is altered in any way; or the owner requires the property for their own personal use; or any other bona fide reason. Therefore Resort Management is unable to guarantee or confirm any specific apartment numbers or floor levels to guests at any stage during the booking process. However a ‘Personal Request’ from a guest will be will be recognised and acknowledged, but not guaranteed.
No responsibility is accepted for errors and omissions contained on our web site and ensuing correspondence with respect to bookings and tariffs. We are careful not to misrepresent any apartment or the resort property and facilities.
Specific apartment numbers and apartment locations are not guaranteed and are subject to change due to unforeseen circumstances. Apartment numbers will not be allocated nor confirmed until guest arrives at the resort for check-in.

Special Conditions:
In the event that a guest fails to pay immediately upon demand, any amount owing to The Bay Apartments, pursuant to the booking and accommodation (including without limitation those incidentals such as cleaning, etc. set out above) The Bay Apartments reserves the right to deny access to the guest and ask that they vacate the premises. If in the event that a guest has caused damage to the property or affected other guests/occupants of the property, The Bay Apartments reserves the right to ask that guest to leave and forfeit any monies paid, and will require the guest to pay for any damage caused.
If a guest/occupant behaves in an unacceptable or aggressive manner to other guests/occupants, The Bay Apartments management or is suspected of carrying out illegal acts on the premises, that guest/occupant will be asked to leave and the appropriate authorities will be notified. All monies paid will be forfeited.

The Bay Apartments does NOT accept Excessive Noise on the premises and has a strict NO PARTIES Policy.

Guests will be asked to vacate the premises without refund immediately if found to be creating excessive noise, having a party or exceeding the number of permitted guests.

House Rules:
The Bay Apartments are all NON SMOKING units.

Services provided:
Housekeeping and linen service will only be provided to guests staying 9 nights or more in which a mid service clean will be done on, or around the 5th day.

NOTE: If extra servicing is required additional charges apply.

Rubbish Removal:
A rubbish dispose bin is provided for the removal of rubbish from the apartment. All guests are responsible for the removal of their own rubbish on a daily basis. Bags are provided for this purpose

Our Terms and Conditions apply to all accommodation reservations/bookings.
